DRAFT — This policy reflects the post-checkout charge model. Subject to review before publication.
9.1 Overview
Some Hosts require a security deposit to protect against property damage during a Guest’s stay. BowTel uses a post-checkout charge model: no charge or hold is placed at booking time. The Guest’s payment method is saved on file, and a charge is only made if the Host files a damage claim that BowTel approves.
9.2 How Deposits Work
9.2.1 Card on File
When a Guest completes a booking, their payment method is securely saved by Stripe for potential future use. No charge or authorization hold is placed for the security deposit at booking time. The deposit amount is displayed on the listing page, during checkout, in the booking confirmation email, and on the booking detail page.
9.2.2 Deposit Amounts
Hosts set the security deposit amount for their listing, between $0 and $2,000 CAD in $50 increments. A deposit of $0 means no deposit is required. The deposit amount is shown to Guests before they book.
9.2.3 No Charge Unless Claimed
If the Host does not file a damage claim within 48 hours after checkout, the deposit obligation expires automatically. The Guest’s saved payment method is never charged for the deposit.
9.3 Damage Claims
9.3.1 Filing a Claim
Hosts may file a damage claim within 48 hours after the Guest’s scheduled checkout. Claims must include:
- Description of the damage;
- Photographic or video evidence;
- Estimated repair or replacement cost with supporting documentation (receipts, estimates, etc.).
9.3.2 Guest Response
Upon receiving a damage claim:
- The Guest is notified and given 72 hours to respond;
- The Guest may accept the claim, dispute it, or propose a different amount;
- If the Guest does not respond within 72 hours, BowTel may proceed with the claim based on the evidence provided.
9.3.3 BowTel Review and Charge
If the parties cannot agree:
- BowTel reviews the claim, evidence, and Guest’s response;
- BowTel determines the appropriate amount (if any) to charge, up to the listing’s security deposit amount;
- If approved, BowTel charges the Guest’s saved payment method for the determined amount;
- BowTel’s decision is binding with respect to the deposit charge.
9.3.4 Claims Exceeding the Deposit
If the damage exceeds the security deposit amount, the Host may pursue the additional amount through BowTel’s dispute resolution process or directly through legal proceedings.
